Our Use of Artificial Intelligence (AI)

What We do not use AI for

We do not use AI to create our training materials. All of our courses, workshops and coaching sessions are designed and delivered by people.

Where We do use AI

We use AI Tools in a limited number of ways to support how We run our business:

  • Meeting notes and transcription. We use Fathom, an AI note-taking tool, to record, transcribe and summarise some meetings held online. We will tell You at the start of a meeting if it is being recorded, and You can ask Us not to record it.

  • New business outreach. We may use AI Tools to help research and draft messages to prospective clients. Outreach is reviewed and sent by a member of our team.

  • Content creation. We occasionally use AI Tools to help expand or edit blog posts and to generate images for our website and marketing. Our content is reviewed and approved by a member of our team before publication.

How We protect Your information

  • We do not use Your Personal Data to train AI models, and We only use AI Tools whose settings and terms allow Us to prevent Our data from being used for that purpose.

  • We do not enter confidential client information into AI Tools other than for the purposes described above.

  • AI Tools that process Personal Data on Our behalf are treated as Service Providers under this policy. Some are based outside the UK, and where that happens We make sure appropriate safeguards are in place (see "Transfer of Your Personal Data" below).

  • We do not use AI to make automated decisions that have legal or similarly significant effects on individuals.

  • Meeting recordings and transcripts are kept for 12 months and then deleted, unless We are required to keep them for longer for legal reasons.

If You would like to know whether AI has been used in relation to Your information, ask Us not to record a meeting, or request deletion of a recording or transcript, contact Us at info@13-times.com.

Retention of Your Personal Data

The Company will retain Your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use Your Personal Data to the extent necessary to comply with Our legal obligations (for example, if We are required to retain Your data to comply with applicable laws), resolve disputes, and enforce Our legal agreements and policies.

The Company will also retain Usage Data for internal analysis purposes. Usage Data is generally retained for a shorter period of time, except when this data is used to strengthen the security or to improve the functionality of Our Service, or We are legally obligated to retain this data for longer time periods.

Meeting recordings and transcripts are retained as described in "Our Use of Artificial Intelligence (AI)" above.

Transfer of Your Personal Data

Your information, including Personal Data, is processed at the Company's operating offices and in any other places where the parties involved in the processing are located. It means that this information may be transferred to, and maintained on, computers located outside of Your state, province, country or other governmental jurisdiction where the data protection laws may differ from those of Your jurisdiction.

Your consent to this Privacy Policy followed by Your submission of such information represents Your agreement to that transfer.

The Company will take all steps reasonably necessary to ensure that Your data is treated securely and in accordance with this Privacy Policy and no transfer of Your Personal Data will take place to an organisation or a country unless there are adequate controls in place including the security of Your data and other Personal Data. Where Personal Data is transferred outside the UK, We use appropriate safeguards such as the UK International Data Transfer Agreement or Addendum, or transfers to countries covered by UK adequacy regulations.
